Job Description
Position/Title: Bid Writer
Responsible to: Director
Purpose/Main Function of Position To be responsible for producing and submission of high quality documents including expressions of interest, pre-qualification questionnaires and invitations to tender.
You will be in a focused team but must be able to work alone producing your own written works in a pressurised environment to strict and sometimes urgent deadlines.
The role will also involve all company documentation including company profiles, case studies and website. One of the key elements of the role will be to ensure the delivery of high quality proposals that are tailored to specific requirements, meet the brief and are articulated in the correct manner.
Duties
To create exceptional client proposals including bid submission, working in a focused bid team.
Responsible for applying for and completing pre-qualification questionnaires (PQQ’s) and approved list applications
Development of document design and layouts for submissions
Development of a bank of photographs and images for use within submission documents
Providing support to bid teams on proposals and PQQs as required
Liaise with bid team regarding current bid submissions, innovations and best practice.
Responsible for the creation and management of a database of standard responses with the aim of streamlining the process of completing submission documents.
Liaison with other departments and companies across the business as required producing responses to technical questions.
Attend and contribute to bid strategy meetings as required.
Assist the Business Development Manager in the preparing and maintaining marketing and promotional information about the business.
Undertake any other duties as requested from time to time that fall within the scope of the position
Work safely in accordance with the company’s health and safety policy and procedures
Skills, Knowledge and Competences required
The successful candidate is likely to have a sales or marketing background, a background in building services or construction would be advantageous but is not essential.
Ability to assimilate information and present it themselves as clear, concise text
Good organisational and time management skills with the ability to work to demanding deadlines
Strong interpersonal skills including the ability to build internal/external working relationships
Excellent written and verbal communication skills
Ability to organise own workload and work independently
Ability to identify solutions to problems as well as think creatively and market the information into documents
Extremely strong attention to detail including correct use of grammar and punctuation
Excellent computer skills, specifically MS Word, Publisher, Excel, In Design and Internet navigation Eye for detail
Meticulous proof-reading
Measurement of Success
Production of high quality tender and PQQ submission documents that achieve high marks during the assessment process
The organisation of day-today activities to ensure that all key tasks and deadlines are achieved
Development and ongoing management of image and answer banks for use in streamlining the submission process
The accuracy of work produced
Feedback from the named persons for whom the post holder works
The extent to which the job holder contributes to achieving overall departmental and company objectives and goals
Reliability in terms of attendance and time keeping, together with a professional approach in representing the company
Confidentiality when dealing with tender submissions
